Holiday Camp Staff Information
Welcome to the team! Please take a moment to read through the key procedures and safety information. Keep this page handy throughout the camp.
For more detailed information on any of the procedures below, please refer to the relevant camp policies. You are welcome to request a copy at any time from one of the DSLs (Designated Safeguarding Leads).
Fire safety
In the event of a fire or alarm:
- Calmly lead children to the designated fire assembly point: by the climbing frame in the green playground.
- Take your walkie-talkie.
- Do not re-enter the building until instructed by a DSL or a member of the fire brigade.
Staff sign-in & sign-out
- All members of staff must sign in and out each day for fire safety purposes.
- This ensures we have an accurate record of who is on site in the event of an evacuation.
Visitors
- All visitors, including parents, must sign in and out at the front entrance (not the back gate).
- Visitors must wear a visible badge at all times.
- If a visitor arrives with a badge, staff must check their identity before allowing access beyond the reception area.
- Any concerns must be reported to a senior member of staff or DSL immediately.
Safeguarding
- Always be vigilant. If you have any safeguarding concerns, report them immediately to the Designated Safeguarding Lead.
- Full safeguarding procedures are outlined in the Safeguarding Form.
- If the concern involves any of the DSLs, report to the Head of Camp (Ernest).
- If the concern involves the Head of Camp (Ernest), you may contact:
- Brent Front Door: 020 8937 4300, or
- Ofsted Whistleblowing Helpline: 0300 123 3155
Injury procedure
- All injuries must be recorded on an Injury/Incident Form. A copy of these forms is to be handed to the family at home time.
- For head injuries, deep cuts, facial injuries, excessive bleeding and suspected fracture we must always notify the child’s parent/carer as soon as possible.
- Report the incident to the designated first aider and Camp Manager/DSL on site.
- If medication needs to be administered, it will be done by the first aider, and only if a medication consent form has been completed by the family.
Terror threat procedure
In the event of a terror-related incident:
- Hide: Take cover with the children inside a classroom or safe area.
- Lock down if possible and stay away from windows.
- Call the police if safe and possible to do so (dial 999).
- Await further instruction from emergency services.
Supervision
- Children must never be left unsupervised.
- Staff must remain alert and engaged at all times.
- Staff can’t be on mobile phones around children.
Break times
Each member of staff is entitled to:
- One 15-minute morning break
- One 1-hour lunch break
Break times will be assigned during the morning staff briefing, and your preferences for the exact timing will be considered where possible. Please stick to the assigned break times promptly to ensure consistent supervision of the children and allow fellow staff members to take their breaks fairly.
Communication
- Always keep a walkie-talkie on hand and switched on.
- Please use the walkie-talkie to let the team know if you need anything, including support with injuries, behaviour issues, or if you need an extra pair of hands.
Staff briefing
- Staff briefing will take place at 8:35 AM each day.
- This is where important information will be shared, including break times, daily schedules, and any updates for the day.
- Please make sure you are present and on time to ensure you have all the necessary information for the day ahead.
Pay
- Work experience is not paid work and we at ETT Sports Limited don’t pay. We do give gift vouchers at the end of the work experience if the DSL/Camp Manager judge the young person/people did well.
- For paid staff: payment is not in advance (meaning: before the holiday camp). Payment is made via bank transfer after the holiday camp is concluded.
- For the half term (October, February and May/June) payment is made between the last Friday of camp until the next week Friday.
- For Easter, summer and Christmas, payment is made at the end of the first week as it relates to Easter and Christmas camp. For summer camp it is every two weeks if you worked from week 1 to 5; if you have worked week 6, payments will be made after three to four weeks.
